A long-winded, unproductive and
disorganised meeting is an effective way to demotivate your team.
If you are looking to make sure that your
meetings are more effective make sure you consider doing the following:
Be
well prepared
Ensure that you are well prepared. Create a
clear schedule and meeting objectives. Confirm attendees. If it is a long
meeting, schedule breaks so people can check their emails or use the restroom. Organise
refreshments and ensure that any equipment (props, projectors, notepads,
PowerPoint presentations etc.) is all in order. Assign a moderator who can
diplomatically guide the meeting. Distribute the objectives of the meeting to
all attendees before the meeting.
Keep
focused
Make sure that the moderator ensures that
the meeting starts on time and end on time. Prevent “Meeting Dominators” from
taking too much time by tactfully acknowledging ideas and ensuring they will be
redressed. Constantly redirect the meeting to the objectives that are clearly
set out. Ensure that you get people to agree to act during the meeting. Follow
up with everything after the meeting. Strive to end the meeting on time.
The key to effective meetings is to keep everything
on track and be prepared!
